How Chiltern Accounts collects, uses and protects your personal information.

[Draft for review. These pages are a starting point only — please review the wording, complete the details marked in gold, and have them checked before the site goes live.]

Who we are

Chiltern Accounts (“we”, “us”) is the data controller for the personal information described in this policy. You can contact us at amaan@chilternaccounts.com or 07351 103612. Chiltern Accounts is the trading name of Chiltern Accounts Limited, a company registered in England and Wales under company number 17415023.

What we collect

When you contact us through this website we collect the details you give us — your name, business name, email address, telephone number, the nature of your enquiry and anything else you choose to include in your message.

If you go on to become a client, we will collect the further information we need to provide accounting and tax services to you and to meet our legal obligations, including identity verification information. That information is covered by our engagement terms as well as this policy.

How we use it

We use the information you provide to respond to your enquiry, to arrange and hold a consultation, and to provide the services you ask us for. Where we are required to keep records or report information by law, we do so.

We do not sell your information, and we do not use website enquiry details for unrelated marketing.

Legal basis

We process enquiry information on the basis of our legitimate interest in responding to people who contact us, and where you have asked us to take steps before entering into a contract. Client information is processed to perform our contract with you and to comply with our legal obligations.

Sharing

We share information only where we need to: with HMRC and Companies House where we are filing on your behalf, with the software and IT providers we use to run the practice, and with professional advisers where we are required to.

How long we keep it

Enquiries that do not become client relationships are kept for a limited period and then deleted. Client records are kept for the periods required by law and by HMRC — six years from the end of the relevant accounting period.

Your rights

You have the right to ask for a copy of the personal information we hold about you, to have inaccurate information corrected, to ask us to delete information where we are not required to keep it, and to object to or restrict certain processing. To exercise any of these rights, contact us using the details above.

If you are not satisfied with our response you can complain to the Information Commissioner’s Office at ico.org.uk.

Security

We take appropriate technical and organisational measures to protect the information we hold, and we keep those measures under review.

Changes

If we change this policy we will update the date shown below.
